Discover How to Set Up Users for Sicon Barcoding and Warehousing in Sage 200

Setting up users for Sicon Barcoding and Warehousing correctly is essential to make sure your warehouse operations are efficient and accurate. 

In this Tip of the Week, we show you how to create new users for Sicon Barcoding and Warehousing in Sage 200, so your operations stay smooth and streamlined.

Accessing User Settings

To start, go in to ‘Barcoding and Warehousing > Utilities > Settings’. 

From here click into the second tab titled ‘Users & Permissions’. 

Understanding Licensing Limits

The first thing to consider is the number of licensed users you have. This is shown at the bottom of the page. 

You can create more users than you have licenses for, however only the number of licensed users can be enabled at any one time. For example, if you have 5 licenses, you can only tick and enable 5 users simultaneously.  

Choosing User Naming Conventions

Next, you should consider how you would like to name your users. For example, you can have a user which is a name, such as ‘Ian’, which is useful for tracking individual activity. 

You could have another user which represents a role, such as ‘Goods In’. These are suitable for shared roles, but do not identify the individual using the scanner. 

If you go into stock item history, here you can see your goods received.

If you tick ‘Show details‘, Sicon has added an extra field to reveal which handheld user made the transaction.

Resetting Passwords

In addition to the username, you also must consider passwords. The password is 6 characters (typically numbers) but there is no enforcement for special characters. 

If a user forgets or needs to reset their password, you can simply do this by highlighting the user and selecting ‘Reset Password’.

From here type in the new password, confirm, and click ‘Save’.  


Setting up a user

To begin adding a new user, select ‘Add’. This will show a page where you can name your user, and there are 4 tabs: Permissions, Options, Warehouses, Printers.  

Step 1: Permissions

Firstly, choose a meaningful name for your user in the ‘Username’ box.

Next, review the individual permissions. At this stage you can select and unselect permission options to focus on the modules that effect only that user’s role.   

The permissions list displays the full options Sicon Barcoding and Warehousing has, even though you may not have these modules. If you do not have a certain module, for example Works Order Processing, simply untick this option. 

Step 2: Options

Once you have configured the roles, click the ‘Options’ tab. 

Type in the minimum quantity to allow typing. By default, this is set to 0. This means that a user can scan an item once and then type in the quantity that is required.

If you set this number to 3 for example, it means if a user wanted to pick 2 items, they would have to scan them twice. As soon as they hit that threshold of 3, the user can scan it once and type in the quantity that is required.

Additionally in the ‘Options‘ tab, you can select and unselect which options you wish to allow.

One of these to note is the ‘Allow stock enquiry change bin priority‘. Bin priorities control the way barcoding and warehousing makes its allocations, so often you don’t want warehouse operatives to change those rules. By unticking this, it will be controlled at a more senior level. 

The option below this, ‘Allow add sales order item/line‘, means if someone is choosing a sales order and there is an item that has not been entered when it was created, they can add it to the sales order. Again, this often is something you may not want, so you have the option to untick this.  

Another option to take note of is ‘Allow creating bins even if bin does not exist in the maintain locations list‘. When you originally setting up your system, you would have defined all your bin numbers, so often you will not want someone to create bin numbers, therefore you can untick this box.  

The final option to note is ‘Sort (SOP) picking list lines/items by Sage order display/print sequence‘. By default, when barcoding and warehousing shows you a list of items to action, they are sorted in bin priority, so you don’t have to walk around the warehouse attempting to find them. Instead, it will give you the most efficient way of navigating the warehouse. If you were to tick this box, it would show in the order they were entered on the sales order.  

Step 3: Warehouses

The next tab along is ‘Warehouses’. If you have multiple warehouses, this is where you can give the user access to each warehouse, by ticking the box next to the warehouse you wish to give permission to.  

One of your warehouses can be set to default. This means when the user logs into the scanner, they will be taken straight into the default warehouse. 

Note that only 1 warehouse can be marked as default. If you do not have a default warehouse ticked, when the user logs into the scanner, they will be presented with the full list of warehouses and they can choose which one they would like to log in to.

Step 4: Printers

The final tab when setting up a user is the ‘Printers’ tab. In here, you can define which printers the user has access to. 

For example, if you have someone working on packing benches or on a production machine, and they have a printer next to them, you can select the printer they can use.  

Once you have entered all the necessary information for the user, click ‘Save’. You have now completed setting up this user for Sicon Barcoding and Warehousing.
