Here are reasons why you might not be able to delete your Bill of Materials in Sage 200

Have you ever wondered why you can’t delete your Bill of Materials (BOM) in Sage 200?

Sometimes, you may change product lines or other processes, which means that some of your built items might become obsolete. If the line won’t be coming back, you will want to delete the Bill of Materials.

In this Tip of the Week, we go through the reasons why you might not be able to delete your Bill of Materials in Sage 200 and show you step-by-step how to prevent these errors from happening.


Reasons Why and Solutions

Firstly, it depends on whether you are using version control or not. Version control is normally used when processes or items are updated or changed, and you need to retain the details. The following reasons are for those not using version control.

1. Outstanding Allocations

Firstly, you need to make sure that when you go to delete an item, that it doesn’t have any outstanding allocations, as this will cause an error and not allow you to delete the item.

If there are allocations, you would need to go into the ‘Bill of Materials Allocation List’ and click ‘Undo Allocation’ at the top of the screen. This would remove the allocation and should now allow you to successfully delete the item.

2. Subassembly

Another reason why you may not be able to delete a Bill of Materials is because it is a subassembly of another BOM, therefore the system won’t allow you to delete it.

You will have to go into the Bill of Materials that it is a subassembly for and remove it. The reasoning is, if it is a subassembly of another item, it will not know how to build this item (as there is no Bill of Materials record left behind).

If you are unsure where the item is from, go into ‘Reports‘. The ‘Where Used‘ report will help you find where the item is a subassembly for.

3. Sales or Purchase Order

Something else to keep in mind is if the item itself is appearing on any Sales Orders or Purchase Orders, as this will give the error message that the Bill of Materials cannot be deleted. This is due to the item being in use elsewhere. You can not delete items are ‘Active‘.

4. Active or Obsolete

The following reason is for data that has version control enabled.

As shown here on the far right, your items will show as either ‘New’, ‘Active’ and ‘Obsolete’.

For items that are ‘New’ and not in use yet, depending on the status of the Bill of Material, you should be able to delete this easily.

For ‘Active’ items that are in use, you will get an error message if you try to delete, as only New or Retired Bill of Materials records can be deleted.

For ‘Obsolete’/ items, you will also get an error message if you try to delete. To avoid this, change the status to ‘Retired’, by going to ‘Change Status’ at the top of the page, and clicking ‘Retire’. You will now be able to successfully delete it.

5. Other reasons why

There may be a few other reasons why you cannot delete your Bill of materials, including:

  • An issue with data (which would require you to contact the support team)
  • The BOM is not checked out to another user
  • The BOM has never been built
