Sage Intacct Implementation

Our client made the move to cloud-based accounting and has discovered many benefits that go far beyond simply storing their data in the cloud.

In this article, we’ll discuss the project in more detail and how moving to Sage Intacct has helped future-proof the business.


Before Sage Intacct

Prior to working with us, our client used a server-based accounting system which was hosted on a server at their office.

The solution lacked the capabilities they needed, so they relied heavily on spreadsheets for tasks like tracking fixed assets, reconciling bank accounts and gathering financial statements. Purchasing approvals was also a very manual process, involving emails back and forth, and physical sign off.

It was time for change, so they reached out to us to explore Sage as an alternative. After talking through their needs, it was clear that Sage Intacct was the perfect fit.

It’s a true cloud-based system, meaning it’s accessible online via your web browser, doesn’t require servers, has quarterly system-wide updates (with no upgrade costs or downtime) and is protected by cyber security experts using the latest technologies.

During The Project

We kicked things off with a full scoping document which mapped out exactly how each area of the system should work for them.

Once everything was agreed, our consultants got to work building the core system, plus a few extras:

  • Fixed asset tracking with automated depreciation
  • Accounts Payable automation with invoice matching
  • Bank feeds and automated bank reconciliation
  • Custom Financial Reports, such as P&L by wages and Detailed Cash Flow reports

As they specialise in running clinical trials, integration with their volunteer database was essential. We assisted their in-house developers with the integration, which pushes study data, suppliers and related information into Sage Intacct.

End Results

Since going live with Sage Intacct, the client has been able to:

  • Access their accounting system anytime, anywhere
  • Run granular reports directly from one system without Excel
  • Save time and minimise mistakes from manual work
  • Track and manage the whole approvals process all in one place
  • Monitor performance in real-time with dashboards
  • Generate bank files to simplify bank payments
  • Redirect the team towards strategy and analysis

Plus, adding new entities is quick and easy, so they’ve got room to expand in the future.
