Sage Intacct for Hospitality Financial Management

Running many entities brings unique financial challenges which can overstretch even the best finance teams without the right tools.

Our Intacct team recently migrated 72 entities to Sage Intacct for a hospitality group based in the UK.

In this week’s Intacct Insider, we’ll share insights from the migration project, which reduced their month end close by up to 5 days.

Company & Objectives

Our client runs a range of luxurious hotels, spas, restaurants and bars spanning across London.

Prior to this project, the financial management for all their entities was spread across a variety of systems, including Sage 50, Quickbooks and Xero. Their old set up meant that every time they needed to report across the whole organisation, each entity had to export reports from their system, which had to be combined in an Excel spreadsheet manually.

With the organisation now standing tall at 126 entities in total, it was clear that they had outgrown this approach. We built the system around their specific requirements and prioritised which groups of entities needed to be moved first, with plans to move the rest of the entities in the future.

The challenges they were experiencing include:

  • Month end close taking too long
  • Lack of reporting features
  • Relying on Excel for reporting
  • Manually processing intercompany transactions
  • Manually consolidating entities

The main reasons for selecting Intacct to address their inefficiencies include its multi-entity capabilities and built-in reporting tools, let’s dive into these in more detail.

Multi-Entity Shared Environment

Before implementing Sage Intacct, our client was manually entering intercompany transactions. Due to the number of entities, this took up a lot of valuable time. Now they’ve migrated to Intacct, they can automatically post inter-entity transactions, saving time and preventing mistakes.

The multi-entity structure allows for multiple entities to exist in the same database, meaning they’re able to share data such as customers, suppliers and GL accounts across entities.

Having a holistic view of the whole company helps with resource allocation, ensures efficiency and improves data analysis.

Reporting and Dashboards

Other accounting solutions can’t handle the number of entities, amount of data or customisation requirements for an organisation of this size. But Sage Intacct is well-equipped to handle all our client’s reporting needs and slash the time it takes to generate reports.

What does Sage Intacct offer?

  • Reporting: pre-built and custom reports for all your reporting needs
  • Dimensions: tag transactions to track metrics and add context
  • Consolidations module: provides consolidated reports instantly, including multiple book variations and multiple currency options
  • Dashboards: deliver key information to users in real time, including industry specific data, such as number of rooms, revenue per room etc.

With Intacct’s reporting and dashboard tools, you get the penthouse suite. You’ll get a clear view of performance across the whole business, which can be especially useful for monitoring key information such as room vacancy rates and making decisions on pricing.
