Power BI: Debtors Dashboard in Sage 200

Explore what a Debtors dashboard looks like in Power BI

One of the core ledgers of any Sage system is the Debtors/Sales Ledger. This can be accessed within the application in many ways and data can be drilled into using multiple windows.

One of the common questions we receive is, can we have this data in one place with an easy to use graphical interface? The answer is Yes! – with Power BI.

Sage is fantastic at collating data and presenting it in lists but if customer, contact, transaction or query data is needed, the user has to click through multiple linked screens to access it. With Power BI, we can present all of the data needed in one screen, making it quick and easy to read the information gathered.

Debtors Dashboard

The dashboard in this demo collates data from the Sage system and presents the Debtors in an easy-to-read graphical nature.

When you open up Power BI, you first come to the Debtors overview page which provides a simple view of the overall position of the company’s debts.

This is handy if you want a graphical representation of your debtors.

Here we can see one debtor in particular makes up almost 50% of our balance which may put us at risk.

This general overview also includes two analysis codes that the company uses to allow the debts to be split by both account manager and region. Any analysis codes that you are using can be used to slice data.

On the second tab, we have the Aged Report. This is a classic aged view of our outstanding debts, showing a split by period as well as filters to allow filtering by account manager.

If a particular debt is of interest, the user can right click on a value (total or individual value) and select ‘Drill through‘. This will take the user to a new page that breaks the balance down by invoice.

Here, we have drilled into the total value for Abbey Retail Ltd.

The key information that a user such as a credit controller would require is visible. The age of debt is colour coded and any transactions in query are displayed with their query flag and memos that have been posted.

For quick reference, the customer’s main contact details are presented too which will enable the user to contact them directly from this screen.

Once the user has reviewed the information they need, they can return to the main screen by selecting the back button in the top left corner.
