Discover how to create rules in Credit Hound Professional
Creating rules in Credit Hound Professional can help speed up your credit control process, as rather than chasing customers individually, rules allow you to chase several customers as a group.
You can also set up different chasing cycles for different categories of customer. For example, you might want to chase your key customers in a different way to your problem customers.
In this week’s tip, we show you how to create and run rules in Credit Hound Professional.

How to create access and create rules in Credit Hound Professional
To access, configure and run rules in Credit Hound Professional, go to Tools > Rules.
This will display any rules that are already set up.
To create a new rule, you can either:
- Copy an existing rule (and then select to edit)
- Select ‘Add’ to create a rule from scratch

When configuring a new rule, you must specify the:
- Name
- Severity
- Description
Once done, select ‘OK’.

Rules are made up of:
Criteria – Rule criteria allow you to define a rule so that it applies to exactly those accounts and transactions you are targeting.
Actions – Actions allow you to specify what will happen to those accounts that your rule criteria have identified (such as having a letter written to them).
Choose your Criteria by selecting ‘Add’ within the ‘Criteria’ section.
Next, choose the ‘Criteria’ option you require.
Once done, select ‘OK’.
If the criteria requires specific settings, such as a value, set this as required.

As shown here, we are specifying to select transactions that are greater than 30 days overdue. One done, click ‘OK’.
From here, you can continue to add as many criteria options as you require.

Next choose your Action by selecting ‘Add’ in the ‘Actions’ section.
Choose an ‘Action’ you require.
One done, click ‘OK’.

In this example, we have selected to use the ‘Chasing Letter 1′ template for all customers.
Once done, click ‘Add’.

How to run rules in Credit Hound
To run rules manually, within the ‘Rules’ window, select a rule and click ‘Run’.
This will display a list of all the Customer Accounts that have met the rule criteria.

Each account has a green tick to show they are selected for the rule action to be generated.
If there is a customer listed that you do NOT want to have the action generated for, select the ‘green tick’ – this will replace the tick with a red cross.
Alternatively, you can ‘Deselect All‘ which will untick all the accounts so you can manually select the accounts you wish to include.
To execute the rule action, select ‘OK’.

Running rules in the correct order
A key point to consider before running rules is the order in which you run them. Always run the most severe (strongest wording or actions) first, as this ensures that if a client qualifies for more than one Rule on the same day, they will receive the most severe letter or action and not the weaker one.
In addition, when setting up a Rule, to ensure accounts only get one letter at a time ensure you include the criteria ‘Days Since Last Account Chase’ or ‘Days Since Last Transaction Chase’.
