Discover how to customise layouts within Sage 200
If you have amended a layout in Sage 200 Report Designer, you may be wondering how you can make sure it’s used.
Additionally, you might come across a situation where you’re wondering “How can I make sure that a company specific layout only runs for my correct company?”
In this week’s tip, we take a closer look at custom layouts in Sage 200 and how they work.

Custom Layouts in Sage 200
Within Sage 200, you can have company-specific layouts, custom layouts (which are for any company), as well as multiple invoice or credit note layouts and statements.
When a report or layout is generated within Sage 200, the software looks at the folder structure for the file name using a hierarchical approach.
This will produce documentation based on the first folder it finds containing the file, searching from the top down, for example, Company > Custom > Default.
Within the Sage/Reporting folder, there are three main reporting folders:
- Company – Company specific reports and layouts (1st)
- Custom – Customised reports and layouts (2nd)
- Default – Software default reports and layouts (Last)
Within the ‘Company’ folder, it must have a folder name that matches the company name in ‘System Administration’/the company name on the top left of your screen.

Within this folder, there must be a ‘Layouts’ folder, which is where your layout needs to be.

This file name must also be the same as the layout set in Sage 200.
This can be checked by going into Cog > Choose Layouts.

This will ensure you have the correct layout and is something you can do for all layouts. For more information on Sage 200 Report Designer and the report hierarchy, click here.
Customer-specific layouts
You can also set multiple Invoice and Credit Note layouts, and set different layouts against different Sales Ledger accounts.
This is particularly useful if you are trading to multiple nations, for example, you have an English layout, a French language layout and a Spanish Layout.
In Sage 200, go to Invoicing > Invoicing Maintenance > Maintain Invoice Layouts or Maintain Credit Note Layouts.
Within here, you can set up different layouts depending on your needs. For example, you require a layout with Spanish text.
To do this, click ‘Add’ and browse your files to find the custom layout, in this case it would be the Spanish layouts.
Once added, you can click on the description to edit it. Once done, click ‘Close’.

To view the custom layout, find the company in question within the ‘Customers List’ , select the customer and click ‘Amend Account’.
Next, go into the ‘Documents’ tab and change the ‘Sales Invoice Layout’ and/or the ‘Sales Credit Note Layout’ to the new custom layout, for example the Spanish layout.
Once done, click ‘Save’.

This will now use this newly set layout for this customer, without affecting any other customer in Sage 200.
To find out which layout you are using, within the cog icon in the top right of the screen and go to ‘Choose Layouts’. For example, ‘Statement Primary’. If you select this layout, it tells you the file name it’s using. You can click on the 3 dots to browse and select another layout.
