How to Run Financial Consolidation in Sage Intacct

Sage Intacct Financial Consolidation

In many systems, financial consolidation is a long and complicated process, but not in Sage Intacct!

Once you’ve got everything set up, you can run consolidation across multiple periods and entities in just a few minutes.

In this week’s tip, we’ll talk you through how to set up consolidation books, run consolidation and generate reports.


Types of Consolidation

There are 3 types of consolidation in Sage Intacct: domestic, global and advanced ownership:

  • Domestic Consolidation: For a multi-entity environment with all entities using a single base currency.
    • Includes multi-entity insights and auditing capabilities.
    • E.g. A business with locations across the UK which are all trading in GBP.
  • Global Consolidation: Best suited for when multiple base currencies are used across different entities.
    • Everything included with Domestic Consolidation + currency translation.
    • E.g. A business with locations across the UK and EU, using GBP as the base currency for some entities and Euro for others.
  • Advanced Ownership Consolidation: Uses ownership structures to enable multi-level consolidation and automated non-controlling interest entities.
    • For businesses with multiple base currencies and a single hierarchical level, multi-level hierarchy or wholly and partially owned entities.
    • Everything included with Global Consolidation + multi-level consolidation and consolidating partially owned entities.

System Settings

If you need to consolidate multiple currencies, you may need to configure a few settings first.

To enable multiple base currencies, navigate to:

Company > Admin > Subscriptions

Under ‘Multi-Entity Management‘, click ‘Configure‘.

Tick ‘Enable multiple base currencies’ and click ‘Save’.

To choose which type of consolidation you’d like to use, navigate to:

Company > Admin > Subscriptions

Under ‘Consolidation‘, click ‘Configure‘.

Select a consolidation subscription from the options: Global Consolidation or Advanced Ownership Consolidation and click ‘Save’.

How to Set Up Consolidation Books

Consolidation Books define how your financial data should be combined when you run consolidation. It includes details such as currency conversion, exceptions, base currencies, entities to include, inter-entity elimination and more.

As you’ll see later, you select which book you’d like to use when you’re running your consolidation.

To set up a new consolidation book or edit an existing one, navigate to:

Applications > Consolidation > Setup > Books

To add a new consolidation book, click ‘+ Create’ or to edit an existing one, click the pencil icon.

We’re going to click the pencil icon for our existing Consolidation Book ‘Global Loc’.

Work through each tab to configure your Consolidation Book how you want it. An overview of what each tab covers is below:

  • Book information: Description, status and multi-currency information (for global and advanced ownership consolidation).
  • Entities to consolidate: Select the entities and dimensions to include and select the elimination adjustment account.
  • Journals: Set up journals for consolidation.
  • Accounts to override: Add any accounts which use a different exchange rate method.
  • Elimination accounts: Elimination is applied to any GL accounts for inter-entity transactions.

Once you’re happy with all the settings, click ‘Save’.

Running Consolidation

Now, we can proceed to run the consolidation.

Navigate to:

Consolidation > All > Run Consolidation

Select which consolidation book you’d like to use from the ‘Books’ dropdown and then the dates from the ‘Period range’ dropdown.

Each period will be colour coded based on its consolidation status:

  • Green = successful
  • Blue = in progress
  • Red = failed

Tick the boxes for the periods you’d like to consolidate and then click ‘Consolidate’.

Note: If a period has already been consolidated but more transactions have been added after, we can re-run the consolidation by selecting the period and clicking consolidate. However, you need to be mindful that if you’re re-running the consolidation for an older period, all subsequent periods need to be consolidated again.

When the email notifications popup shows, make sure your email address is entered correctly and click ‘OK’.

You’ll receive an email notification once the consolidation has finished running.

Viewing Consolidation History

To check the consolidation history, navigate to:

Consolidation > All > Consolidation history

This shows a list of every time a consolidation has been run, with the entity name, book name, timestamps and other useful information.

Running Consolidated Reports

Navigate to:

Consolidation > Financial reporting > Financial reports

From here, we can run consolidated reports and create new ones. To run a report, find it in the list and click the format you’d like to view it in, e.g. HTML, CSV, PDF or Excel.

Select the consolidating book from the ‘Reporting method’ dropdown, select the date from the ‘As of date’ dropdown and click ‘OK’.

Here you can see the report contains data based on the consolidation we just run.
